Position Overview 

The Legal team, located in Atlanta, GA is seeking a Senior Legal Operations Specialist for its growing legal operations team. The Senior Legal Operations Specialist is responsible for helping develop and implement strategic processes to streamline legal service delivery, facilitate change, improve knowledge management and sharing capabilities, control costs, and support legal technology implementations to evolve the Global Legal team into a strategic and data-driven function. 

Reporting to the Head of Legal Operations, this role will help execute the legal department’s operating model and legal strategic roadmap to drive enhanced organizational effectiveness. This role involves managing and supporting projects across a full spectrum of legal and business matters and will require having excellent communication and organizational skills and a passion for driving operational excellence. 

 

The successful Senior Legal Operations Specialist will be a proactive, forward-thinking agent of change to identify areas of need, generate project action plans, and have proven legal operations and project management experience, as well as a familiarity of legal technology.

 

The Senior Legal Operations Specialist should be highly organized and detail-oriented with the ability to work independently and prioritize projects based on criticality.  This role will require the candidate to build strong partnerships with legal and business stakeholders to build scalable processes and systems and ensure adoption.

 

Responsibilities 

  • Legal Operations Center of Excellence (COE) Support
    • Support the implementation of the global legal strategy and help establish the governance framework for the Legal Operations COE
    • Help build legal operations to drive operational excellence in key areas, including legal spending, department reporting, information governance, vendor management, litigation management, and legal technology, and AI and automation.
    • Provide administrative support to the Legal Operations COE, including scheduling meetings, calendar management, and legal document preparation, filing, and storage.
  • Project Management Office Support
    • Provide support to legal operations and special projects using project management tools, including charters, checklists, and tools to ensure timely delivery
    • Work closely with relevant stakeholders to understand project objectives and strategic outcomes and generate project support and sponsorship
  • Legal Process Optimization
    • Identify and help document, optimize, and implement standardized processes for routine legal work and support the implementation of streamlined legal workflows to improve efficiency
  • Legal Technology and Systems
    • Support the implementation of the legal technology portfolio strategy and technology investments to modernize legal service delivery
    • Help administer and maintain legal technologies, including document management systems, knowledge management hubs, legal e-billing tools, legal dashboards, litigation technologies, and legal research tools
  • Vendor Portfolio Management
    • Maintain and manage vendor portfolio of preferred legal service providers, assess vendor performance, and review vendor invoicing based on fee structures and billing guidelines
    • Help evaluate in-house capabilities, identify vendor support needs, and drive cost saving opportunities
  • Knowledge and Matter Management
    • Support the development of a knowledge management program and knowledge sharing practices to track and manage all legal matters
    • Help develop matter management and document management systems, information repositories, knowledge hubs, document templates, summaries, and lessons learned to allow easy information access
  • Budget Management
    • Support management of the department's legal spend through cost analysis and identifying cost savings opportunities
    • Support ongoing budget planning activities, including accruals, tracking expenses, and budget forecasting
    • Oversee legal invoicing process and e-billing software to streamline legal spend and ensure accurate and compliant invoicing with billing guidelines
  • Legal Operations Training
    • Create, develop, and deliver training materials and templates for legal stakeholders and support global training delivery and planning activities
  • Legal Reporting and Data Analytics
    • Collect, organize, and manage legal department data for key legal areas, including legal spend, litigation, compliance, legal and operational time,
    • Develop and maintain regular reporting dashboard for legal stakeholders on various metrics such as legal department performance, spending, and key case milestones.
    • Track and manage KPIs to measure legal operations and department performance
    • Leverage AI to help automate data collection, identify trends, and obtain performance insights to drive informed decision-making

Minimum qualifications 

  • B.A. or B.S. required
  • 10+ years experience in a legal department, law firm, or relevant operational excellence role, supporting the execution of a legal department’s operations
  • Project management experience with the ability to manage multiple tasks and projects and triage competing priorities
  • Experience implementing scalable processes for legal service delivery
  • Experience implementing and managing legal technology solutions, including legal spend tools, knowledge and matter management systems, and contract management applications
  • Demonstrated ability to use change management practices to implement transitions related to technology, processes, and people
  • Effective written and verbal communication skills
  • Adept at budget management with an eye for analytics and reporting
  • Ability to track, analyze, and interpret legal data to support legal decision-making
  • Ability to communicate effectively with stakeholders and have the ability to influence
  • Work collaboratively in a cross-functional role and build strong business partnerships
  • Action oriented with sound, practical business judgment and high tolerance for ambiguity and complexity
